Frequently asked questions
Common questions about access, data, offline working and day-to-day use.
Access and accounts
A module is missing from my sidebar
You do not hold a role that grants it. A-Sync hides what you cannot use. Check the role permissions reference, then ask an administrator at your organisation if you need the access.
A button I expect is greyed out or missing
Three possibilities, in order of likelihood:
- The action belongs to a role you do not hold.
- The record is not at a point where the action applies - you cannot release an aircraft with open work, or close an order with unresolved findings.
- You are offline and the action needs the server.
I have lost my authenticator app
An administrator at your organisation has to reset the second factor on your account. Nobody can recover the codes for you.
Can one person hold several roles?
Yes, and permissions add up. Someone who is both a mechanic and an inspector can do everything either role can.
Working day to day
Can I edit something I recorded incorrectly?
Records that carry airworthiness or financial meaning are corrected, not edited. A correction supersedes the original, keeps both, states a reason and recalculates anything downstream. Utilisation postings are the clearest example - see Fleet.
Why can't I just adjust a stock quantity?
Because an adjustment changes a recorded quantity with nothing physical behind it. Adjustments are restricted to administrators and always need a reason. For a genuine discrepancy, use a cycle count - the correction is then evidenced by the count.
Two people need the same part. What happens?
The first reservation wins. Reservations exist precisely so that two jobs cannot both plan around the same stock. If it is urgent, mark it AOG priority, which sorts it to the top of the fulfilment queue.
Where do I see everything waiting on me?
Notifications in the page header. Approvals, read-and-sign obligations and documents needing acknowledgement all surface there.
Tablets and offline
Does A-Sync work without a connection?
The Line Maintenance module does, and so does stores scanning. Open them while connected first so the device holds a current copy of your work. See Tablets and working offline.
Where does my work go while I am offline?
Onto the device, in a queue that survives closing the app and restarting the tablet. When the connection returns, the queue is sent in the order you made it and the count falls to zero.
Can I sign out while items are still queued?
You can, but do not - the queued items are stranded on the device. Reconnect and let the queue empty first.
Why can't I issue stock offline?
Because A-Sync cannot know whether the stock is still there. Actions that need a decision from the server are unavailable until you reconnect, rather than being accepted and then rejected later.
Data and customers
Can customers see our costs?
No. The customer portal shows a customer their own work orders, documents and invoices. Internal costs, margins and notes never appear there, and one customer can never see another's data.
Do customers get emails from A-Sync?
No. Portal notices appear in the portal itself. Customers should sign in when they are waiting on a decision or a document.
A customer says their invitation link does not work
Invitations are single-use, tied to one email address and time-limited. Issue a fresh invitation from the customer's record in Billing.
Can we work in a language other than English?
Yes - choose Language from your account menu. This guide is written in English and its screenshots show the English interface.
Getting help
For anything specific to your organisation's setup - roles, aircraft, approvals, customers - start with your administrator or the team that runs A-Sync at your organisation. They can see the configuration behind the screens.
